1. Travel Documentation & Entry Requirements
Sirevaag Travel is not liable for missed departures, denied entry, or additional costs incurred due to incomplete or incorrect travel documents, visa refusals, or lack of required vaccinations. Travellers are responsible for ensuring that they meet all passport, visa, re-entry permit, and health certificate requirements for their destination(s). Passports must be valid for at least six months beyond the date of return and contain a minimum of two blank pages. It is also the traveller's responsibility to consult with their doctor regarding vaccinations, health precautions, and any required prophylactics such as malaria prevention.
2. Travel Insurance
We strongly recommend that all travellers take out comprehensive travel insurance as soon as a booking is confirmed. This should include coverage for cancellation, curtailment, medical emergencies, medical evacuation, repatriation, baggage loss, and any disruptions caused by unforeseen events (e.g. strikes, severe weather, pandemics). Sirevaag Travel cannot be held responsible for any losses resulting from insufficient or absent insurance coverage. Travellers must also ensure that their insurance includes coverage for medical evacuation and repatriation in case of emergency in remote or wilderness locations.
3. Booking Confirmation & Contract Formation
Travellers must review all travel documents, confirmations, and tickets upon receipt and notify Sirevaag Travel within 48 hours of any errors or omissions. Sirevaag Travel is not liable for costs resulting from delayed notifications. Once a written or electronic confirmation is received and a deposit is paid, a binding agreement is formed between the traveller and Sirevaag Travel. All bookings are considered final once the deposit is received. The lead traveller is deemed to act on behalf of all individuals included in the booking and is responsible for ensuring all participants review and accept these Terms & Conditions. By confirming a booking, the lead traveller agrees that all members of their party are bound by these terms. Travellers are responsible for providing accurate and up-to-date contact information that can be used before and during the trip for time-sensitive communication.
4. Quotations & Pricing
Quotations are valid only for the dates and services specified and are typically held for 7 to 14 days from the date of issue. All prices are subject to availability and to change based on exchange rates, supplier pricing, tax increases, or fuel surcharges. In the event of price increases beyond our control, such as government levies or currency fluctuations, travellers will be notified before confirming the final itinerary. Prices quoted in currencies other than the confirmed invoicing currency are provided as a courtesy. The confirmed itinerary will always be invoiced in the currency agreed upon with our local partners, which may vary by destination. Sirevaag Travel is not liable for exchange rate differences incurred by the traveller between quote and payment.
5. Deposit & Payment Terms
A standard deposit of 20% of the total booking value is required to confirm any booking. In some cases, a higher or different deposit amount may apply. The remaining balance is due no later than 90 days prior to arrival, unless otherwise stated in writing. All payments must be made via bank transfer or secure card links where applicable. Any bank or foreign exchange fees are the responsibility of the traveller. If the balance is not received by the due date, Sirevaag Travel reserves the right to cancel the booking without refund. Please note: The deposit is strictly non-refundable and includes an administrative fee to cover time and services already provided in the planning process.
6. Cancellation Policy
No refunds will be issued for late arrivals, early departures, or unused services during the trip, regardless of the reason. Cancellations must be made in writing.
• More than 90 days before arrival: deposit retained.
• 60 to 89 days before arrival: 50% of total booking value forfeited.
• 30 to 59 days before arrival: 75% of total booking value forfeited.
• Less than 30 days before arrival or no-show: 100% of booking value forfeited.
Some bookings are subject to supplier-specific cancellation terms that differ from our standard policy. These will take precedence and will be communicated to you. In the event of an itinerary cancellation, a standard administration fee of up to €300 per person may apply. We will provide supporting documentation for travel insurance claims where reasonably possible.
7. Third-Party Services & Flights
While we take care to work with reputable third-party suppliers, Sirevaag Travel is not liable for their acts, omissions, service quality, or insolvency. Sirevaag Travel may arrange flights, transfers, or accommodation through independent third-party suppliers. Flights arranged by us are booked through our official partner 360 Private Travel (IATA: 96116370, ANVR: 05749, VZR Garant registration no. 134322, and ATOL: 7515). All flight arrangements and bookings facilitated by them are subject to their respective terms, including the 360 Private Travel Terms & Conditions.
Travellers are responsible for ensuring that their names are correctly stated on all tickets as per their passport. Sirevaag Travel is not responsible for missed flights or penalties due to incorrect information provided by the traveller.
8. Package Travel Regulation & Financial Protection
Sirevaag Travel operates in partnership with 360 Private Travel, which is fully accredited to sell travel packages including flights under IATA: 96116370, ANVR: 05749, VZR Garant registration no. 134322, and ATOL: 7515. When travel arrangements meet the definition of a "package" under the EU Package Travel Directive, your booking is financially protected by VZR Garant and governed by relevant consumer protections. You can check the conditions of this guarantee scheme via the VZR Garant website or via 360 Private Travel.
9. Amendments & Changes
Sirevaag Travel reserves the right to make reasonable substitutions or modifications to the itinerary, accommodation, or transport arrangements if circumstances require. In such cases, we will aim to provide services of equal or greater value. Changes to confirmed bookings are subject to availability and any additional costs incurred.
10. Travel Risks & Safety
Sirevaag Travel is not liable for loss, theft, or damage to personal belongings during travel. We cannot be held responsible for missed flights, delays, or cancellations caused by airlines, weather, or third-party operators. Some experiences involve travel in remote wilderness areas and proximity to wildlife. While safety measures are in place, travellers must accept these risks and act in accordance with all instructions provided by guides. Sirevaag Travel is not liable for injury arising from behaviour that disregards safety protocols.
11. Traveller Responsibilities
Travellers are responsible for providing accurate personal information. Travellers are also responsible for ensuring they meet health and fitness requirements appropriate to their itinerary. Medical insurance is mandatory. Sirevaag Travel and its partners reserve the right to terminate a traveller's participation if they violate safety protocols or the code of conduct, with no refunds issued in such cases.
12. Indemnity & Limitation of Liability
Sirevaag Travel is not liable for indirect, incidental, or consequential damages, or for loss resulting from events beyond our control. Liability is limited to the amount recoverable under our professional liability insurance. Nothing in these terms excludes liability for death or personal injury caused by our negligence or limits a traveller's statutory rights under applicable EU consumer protection law.
13. Force Majeure
In cases of force majeure, including but not limited to natural disasters, pandemics, government actions, or strikes, Sirevaag Travel reserves the right to cancel or alter itineraries. In such cases, travellers may defer their travel or request a refund, less any unrecoverable costs from third-party suppliers. We will always act in good faith to find a fair resolution.
14. Data Protection
Sirevaag Travel AS complies with the General Data Protection Regulation (GDPR). Personal data is used solely for travel planning and service delivery and is never shared outside our trusted partners without consent. Travellers may request access to or deletion of their personal data at any time.
15. Feedback & Complaints
Any issues must be reported immediately to the relevant local representative, lodge staff, or Sirevaag Travel contact while on-site, so that we have the opportunity to resolve them during the trip. Travellers may not make alternative arrangements or seek compensation from third parties at our expense without prior written approval. Any formal complaints must be submitted in writing no later than 28 days after the completion of the trip.
16. Claims, Imperfections & Timely Notification
If a traveller notices any imperfection during the trip, they must report it immediately to Sirevaag Travel or the relevant on-site staff. Failure to notify us in a timely and appropriate manner during the trip may impact your right to later seek compensation. Ensure the complaint is properly documented.
17. Additional Notes
Wildlife sightings are never guaranteed, and accommodation layouts or views may differ slightly from marketing materials. Travellers may be required to sign activity waivers for certain high-risk experiences. Essential medical requests will be submitted to our local partners, but we cannot guarantee fulfilment.
18. Jurisdiction & Governing Law
These terms are governed by and shall be interpreted in accordance with the laws of Norway. Any disputes arising from or related to these terms shall be subject to the exclusive jurisdiction of the Norwegian courts. Lawsuits against Sirevaag Travel AS may exclusively be filed at the Sør-Rogaland District Court (Sør-Rogaland tingrett).
